Product Assistant, Community & Influence

JOB PURPOSE

Reporting to the Senior Manager, Community & Influence, this role is responsible for effectively managing the end-toend process of the Community and Influence Product Orders. This role will work closely with merchandising, shipping, Goods-in, external vendors and the regions to ensure that the right product is ordered and delivered per brand activation. The role will also be responsible for raising POs related to product, keeping the budget up to date with all product/shipping related costs and keeping the regions and the team up to date with shipments. The role will also support the team with other administration duties where necessary.  

RESPONSIBILITIES

• Place product orders for the Influencer & Community team through the merchandising and order management teams in a timely manner ahead of all campaign launches. 

• Manage all product orders from placement to delivery keeping all teams updated on status of orders and order submission deadlines, flagging any delays or issues.  

• Work closely with merchandising and product marketing to understand the key product the team need to be supporting  

• Ensure all global and regional Influencer & Community teams are updated on the product that they will be receiving by creating a product overview per region for each campaign and keeping them updated with product movements and tracking details. 

• Responsible for shipping all global influence and community orders out to regions working with external courier companies to book in the shipments and liasing with external courier companies if issues arise.  

• Responsible for retrieving all shipping information from PD and order management to ensure all proforma invoices are filled out correctly to ensure smooth send-outs. 

 • Ensure all send-outs are packaged properly to ensure safe arrival in final destination and according to GoodsIns regulations 

• Point person for any Influencer & community product order queries

PERSONAL PROFILE

• Highly organised and able to operate within a fast-paced environment.  

• Good Excel, Powerpoint and Key note skills.  

• Flexible, adaptable and able to work in a context of ambiguity and change. 

• Previous experience in sample management and shipping/product send-outs is desirable. 

• Hands on approach. 

• Problem-solver and strong attention to detail. 

• Previous experience working cross-functionally in a matrix organization would be a plus. 

• Strong interpersonal skills with a natural ability to build relationships. 

MEASURES OF SUCCESS

 • Ensuring all product orders are placed and delivered on time 

• Ensuring relevant teams including the global and regional influence and community teams are kept updated on the status of all product deliveries 

• Accurate tracking and monitoring of all Influence and Community product.
