To provide a comprehensive level of administrative and organizational support to the CIO to ensure smooth and efficient running of the function. Acting on behalf of the CIO to take action and decisions in agreed areas of responsibility.

  • Partnering closely and working as a true right hand to the CIO.
  • Thorough understanding of departmental priorities and those of the CIO and using this to proactively manage the diary, requests and workload.
  • To act firmly and decisively, with charm, in managing both the CIO's agenda and meeting schedules and to take decisions accordingly, while prioritizing the needs of both the CIO and the business.
  • Extensive diary and agenda management across different time zones for both the CIO and VP  of IT, Retail & Transformation including daily management of scheduling & rescheduling appointments, communicating to attendees, flexible approach to changing schedules, ensuring appointments are met and correct facilities have been booked.
  • Ensuring the CIO is fully prepared for each meeting, providing background information and previous meeting notes for all external, internal meetings and personal board commitments.
  • Proactively support the CIO with meetings for the IT Leadership Team and Town Halls.
  • Build strong relationships across the stakeholder group. 
  • Extensive travel bookings for CIO and VP of IT, Retail & Transformation.
  • Senior new starter induction planning and organisation.
  • Processing expenses for both CIO and VP of IT, Retail & Transformation in line with company policy. 
  • Maintain confidentiality and discretion at all times.
  • Coordinate and/or lead adhoc projects, as requested by the Senior Executive.
  • Support and manage the PA's within the IT department.
  • Event organising.
  • Assist with personal administration (5% of time).
  • Previous experience of working as an EA or PA to Senior Management.
  • Experience of working in global corporate organisations is preferred.
  • Ability to engage with senior leadership in various global locations.
  • Ability to handle multiple assignments quickly and efficiently while showing diplomacy and sensitivity.
  • Highly computer literate, particularly in Word, PowerPoint and Excel with an affinity to pick up IT knowledge. SAP, Concur and Ariba knowledge is desirable.
  • Strong administrative and organisational skills with a high attention to detail.
  • Strong influencing skills.
  • Ability to build strong and trusted relationships.
  • Excellent written and spoken English.  Other languages would be an advantage.
  • Ability to be very flexible and to re-prioritize.
  • Excellent communication and interpersonal skills
  • Previous experience managing or overseeing other PAs preferable.
  • Ability to act quickly to last minute requests and changes
  • Able to work autonomously
