Archive Coordinator

JOB PURPOSE

This role will provide support to the team including responding to and executing loan requests and enquiries, cataloguing and organisation of the collection.

RESPONSIBILITIES

  • Manage internal loan requests end to end adhering to policy and procedure working across many
    different departments including Design, Blyth, Transport and Goods-In
  • Support the Archive team with external loans as needed
  • Provide inductions of archive loans ways of workings to Design and Product [manager level and
    below]
  • Maintain exceptional organisation of the archive’s physical and digital assets including securities,
    protective materials, location, filing and metadata
  • Support cataloguing processes including populating excel sheets, uploading onto our cataloguing
    database, manually labelling, sorting assets, whilst handling and packaging sensitively
  • Undertake audits of the archive assets adhering to an agreed, methodical and consistent approach
    and know the whereabouts of all assets across campus
  • Prepare archive objects and provide support for meetings and appointments
  • Coordinate the archive’s digitisation processes including the photography of new acquisitions
    working with the Studio and Post-Production teams
  • Proactively document business activity by keeping our records and imagery up to date
  • Share information and imagery with the business ensuring they have the required sensitivities
  • Conduct research as directed by the Archive team (image and text)
  • Support on building presentations for the department in PowerPoint and Keynote
  • Support the team with administrative tasks including data analysis and statistics
  • Communicate efficiently with appropriate tone in all written and verbal communications
  • Collaborate on any large-scale projects within the organisation which require heritage support
  • Produce weekly reporting
  • Attend all team briefs and meetings and weekly catch-ups
  • Document minutes for all independently attended meetings
  • Available to personally deliver archive assets if business requires

PERSONAL PROFILE

  • Passion for the luxury fashion industry
  • Excellent communication, organizational, teamwork and relationship building skills
  • Strong analytical and reporting skills
  • Previous luxury marketing experience a plus
  • Proficient with Excel, Word, Google docs and Keynote
  • Ability to work with a team or independently
  • Excellent rapport building skills
  • A history or business-related degree or an administrative background is a plus.
