Procurement & Product Administrator

JOB PURPOSE
The focus of this role is to coordinate the development of new products, support sampling requirements, and oversee the transition into bulk production whilst simultaneously supporting raw material purchasing and sustainability / compliance and accreditation targets and protocols. Key responsibilities include:
- Data Management: Ensure data integrity in SAP and Flex PLM, aligning BOMs and loading them promptly to support bulk production plans and floorset deliveries. Identify and resolve inconsistencies, and review raw material booking data for seasonal requirements, flagging issues to local and corporate teams.
- Administrative Support: Provide administrative support as required to wider teams using SAP systems to create purchase orders, Ariba non-stock orders, call in stock, and manage Codetex platforms for sampling and RMX database management.
- Supplier Onboarding: Manage the onboarding and processing of new suppliers.
RESPONSIBILITIES
- BOM Management: Manage and coordinate BOM information, working cross functionally, with London and IM teams, throughout all stages of product development and into production i.e.: Proto, SRS, PP’s Kit, final product
- Sample Raw Material Management: Trackers, Codetex, purchase orders, and onboarding new suppliers in the app.
- Master Data Coverage: Provide support for the Master Data role as required.
- Raw Material Spreadsheet Management: Maintain outstanding raw material spreadsheets.
- Swing Ticket Tracker Management: Manage swing ticket trackers and warehouse packaging.
- Non-Cites Coordination: Maintain files and information related to non-cites coordination.
- RMX Process Support: Provide support for the RMX process.
- Thread Management: Oversee thread management.
- Non-Stock Procurement: Support factory floor with non-stock procurement.
- Visual Stock Management: Manage visual stock as required.
- Additional Duties: Undertake any other duties to support the smooth running of the Procurement & Planning department, including procurement administration; for example but not exhaustive; maintain supplier management sheets, raising & releasing PO, invoice queries pertaining to the relevant area.
PERSONAL PROFILE
- Understanding of procurement processes, supply chain logistics, and inventory management.
- Proficiency in managing data integrity in systems like SAP and Flex PLM, including BOM (Bill of Materials) management.
- Ability to track and manage raw materials, sample orders, and packaging data accurately.
- Understanding invoicing processes and ensuring accuracy in financial documentation.
- Skills in coordinating new product development, managing timelines, and ensuring timely delivery of samples.
- Strong communication skills to engage with internal and external stakeholders, including suppliers and corporate teams.
- Ability to identify and resolve inconsistencies in data and processes.
- Familiarity with software tools and systems used in procurement and supply chain management.
- Efficiently managing multiple tasks, such as raising orders, tracking deliveries, and maintaining various trackers and spreadsheets.
- Understanding of sustainability practices, particularly in packaging data and supplier management.
- Ability to cope under pressure with multiple deadlines at once
- Strong working knowledge of Excel and SAP.
